WhatsApp API Display Name: Rules, Approval and Changes

You set up the WhatsApp API, typed your business name into the display name box and moved on. Weeks later a customer sends a screenshot: your messages arrive under a bare phone number. Or an email lands saying the name was declined, with a code like NAME_NOT_CONSISTENT and no hint of what consistent would look like.

The WhatsApp API display name is the name WhatsApp shows for your business number, and it follows its own rules, separate from business verification and the green tick. This guide covers where the name actually appears, when Meta reviews it, what each rejection code means with before-and-after examples, how to change the name in WhatsApp Manager or by API, and how the new business usernames fit next to it.

Where your display name actually appears

You provide a display name when you register a business phone number. From then on it always appears on your number's WhatsApp profile. Whether it also appears at the top of chats and in the chat list depends on approval: Meta's docs say that happens once the name passes display name verification.

Even then, the customer's own phone has the final say. WhatsApp's documented priority for what a chat shows, highest first:

  1. The name the customer saved for your number in their contacts.
  2. Your verified business name, or your Official Business Account name.
  3. Your business username, once usernames go live.
  4. Your phone number.

So a customer who saved you as "Cake lady" sees "Cake lady", whatever Meta approved. And until your name is approved, a customer who has not saved you may see the number. One more visibility rule: numbers without Official Business Account status do not show up when people search inside WhatsApp, unless the person has saved the number.

When Meta reviews the name

Meta does not necessarily review your display name the moment you register. Its documentation says the name goes through verification automatically when your number reaches a higher messaging limit. When the review finishes, Meta sends a phone_number_name_update webhook and a Meta Business Suite notification.

Read the status from the API rather than guessing:

curl -G "https://graph.facebook.com/v23.0/PHONE_NUMBER_ID" \
  --data-urlencode "fields=verified_name,name_status" \
  -H "Authorization: Bearer $WHATSAPP_TOKEN"

verified_name is just the string under review; it doesn't mean approved. name_status is the answer:

name_statusMeaning
APPROVEDApproved; can show at the top of chats
AVAILABLE_WITHOUT_REVIEWReady to use without review
PENDING_REVIEWUnder review
DECLINEDRejected; edit and resubmit, or appeal
EXPIREDThe number's certificate expired; it can't be registered with it
NONENo certificate; it can't be registered for API use yet

Use the current Graph API version from Meta's changelog. The webhook's decision field can also read PENDING or DEFERRED while Meta is still deciding.

Why names get rejected, with examples

When a name is rejected, the webhook's rejection_reason carries one of a handful of codes. Meta's own definitions, plus what a fix looks like for a made-up bakery called Kavya Bakers:

CodeMeta's definitionRejected exampleApproved-style fix
NAME_EMPLOYEE_ISSUE / NAME_INDIVIDUAL_ISSUEIncludes a person's name or employee identifier"Rahul at Kavya Bakers""Kavya Bakers"
NAME_FORMAT_UNACCEPTABLEUses an unacceptable format"KAVYA BAKERS™ 🎂!!!""Kavya Bakers"
NAME_NOT_CONSISTENTNot consistent with the business's branding"Best Cakes Bangalore", when the website and signage say Kavya BakersThe name the website, signage and invoices use
NAME_ENDCLIENT_NOTRELATEDIncludes an unrelated business's nameAn agency's portfolio registering "Kavya Bakers" with no visible link between the twoOnboard the number into the bakery's own portfolio, or make the relationship clear on both businesses' sites
UNKNOWNUnknown reasonAnyContact support

The format example above breaks more than one rule. Meta's terms for the WhatsApp Business Platform say business and account names must not include character symbols, excessive punctuation or trademark designations, must not be false or misleading, and must not infringe anyone's trademark. Meta also reserves the right to reclaim names for whoever holds the legal claim to them.

A few working habits that follow from those codes:

  • Write the name the way your brand writes it, in normal capitalisation, with no taglines.
  • Make it checkable. A reviewer should find the same name on your website and in your business profile.
  • Keep people out of it. Route conversations to people inside your tools, not in the display name.
  • If your business is legitimately named after a person, use that exact name everywhere public, so it reads as a brand rather than an employee.

If you think a rejection is wrong, Meta's docs point you to an appeal through Developer Support, or Enterprise Developer Support if you have it.

Changing your display name

You can change a display name 10 times in a 30-day period. Each change goes through verification again, and there is one step everyone misses: after approval, you must re-register the number for the new name to take effect.

In WhatsApp Manager, go to Account tools > Phone numbers, select the number, open the Profile tab and click Edit under Display name. Or use the API:

# 1. Request the new name
curl -X POST "https://graph.facebook.com/v23.0/PHONE_NUMBER_ID?new_display_name=Kavya%20Bakers" \
  -H "Authorization: Bearer $WHATSAPP_TOKEN"

# 2. Check progress
curl -G "https://graph.facebook.com/v23.0/PHONE_NUMBER_ID" \
  --data-urlencode "fields=new_display_name,new_name_status" \
  -H "Authorization: Bearer $WHATSAPP_TOKEN"

# 3. After the phone_number_name_update webhook says APPROVED, re-register
curl -X POST "https://graph.facebook.com/v23.0/PHONE_NUMBER_ID/register" \
  -H "Authorization: Bearer $WHATSAPP_TOKEN" \
  -H "Content-Type: application/json" \
  -d '{ "messaging_product": "whatsapp", "pin": "583920" }'

Re-registering before approval does nothing. After approval you have 14 days to re-register; miss that and the name has to be submitted for review again. Numbers with Official Business Account status can't change the name this way at all: Meta asks you to contact direct support.

Display name, portfolio name, username and green tick

Four different things, often confused:

What it isWho sees itReviewed?
Display nameThe name on one business phone numberCustomers, in profile and chatsYes, display name verification
Business portfolio legal nameYour company's legal name in Meta Business SuiteMetaYes, business verification
Business usernameAn optional handle like kavyabakers, one per numberCustomers, once usernames launchYes, username approval
Official Business AccountThe blue check badge next to the nameCustomersSeparate request

Your legal name can be "Kavya Foods Private Limited" while the display name is "Kavya Bakers"; that is normal, as long as the brand is consistent. Business verification is covered in our guide to Meta business verification for the WhatsApp API, and the badge in our WhatsApp green tick guide. An approved display name is one of the criteria for that badge.

Usernames are new. Meta opened reservations on June 29, 2026 and is rolling the feature out gradually. Business usernames are 3 to 35 characters of English letters, digits, periods and underscores, must contain a letter, can't start with "www." or end in a domain like ".com", and adopting one does not hide your phone number. Our post on WhatsApp BSUIDs and usernames covers what that means for your data. For the wider platform, see the complete guide to the WhatsApp API.

Where Tenashi fits

On Meta's platform, the display name is one more review between you and a recognisable chat. Tenashi works on your existing WhatsApp or WhatsApp Business number, linked by QR, so customers keep seeing the profile name and picture you already set in the app, and the contact name they saved for you. There is no display name review because nothing is re-registered. Your team works that number together from one inbox with DMs, groups and a CRM, from $18/mo.

What it can't do is give you an approved verified name or a green tick, because it is not Meta's official platform. If those matter for your brand, they come through the Cloud API and the steps above.

FAQ

How long does WhatsApp display name approval take?

Meta does not publish a turnaround. Review can happen at registration or later, since Meta says names are verified automatically when a number reaches a higher messaging limit. Rather than waiting on email, subscribe to the phone_number_name_update webhook or poll name_status, and treat PENDING_REVIEW as normal until a decision arrives.

Can I use emojis or symbols in my WhatsApp display name?

Avoid them. Meta's terms for the WhatsApp Business Platform say business and account names must not include character symbols, excessive punctuation or trademark designations, and an unacceptable format is one of the listed rejection codes. Use your brand name in plain text with normal capitalisation, the way it appears on your website.

Yes. Business verification checks your legal name; the display name should match the brand customers know, as long as it is clearly the same business. A trading name used on your website, signage and invoices is the safest choice. A generic keyword name that does not match your branding risks a NAME_NOT_CONSISTENT rejection.

Does an approved display name mean I have the green tick?

No. Approval lets the verified name show at the top of chats for people who have not saved your number. The green tick, now a blue check for Official Business Accounts, is a separate request with extra criteria, including business verification and 30 days on the platform. An approved display name is one of those criteria.

Why does my new display name not show after approval?

You probably have not re-registered the number. Meta requires a call to the register endpoint after the name change is approved, and re-registering before approval has no effect. You have 14 days after approval; after that the name has to be submitted again. Customers who saved your number still see their saved name.

Pick the name your customers already use for you, keep it plain, and remember the re-register step after any change. If you'd rather keep the name and profile you already have on WhatsApp, see how Tenashi works.
