Replying to messages

Canned replies, attachments, catalog items, quoting, reactions and private replies in groups.

Replies go out from the connected number the conversation belongs to. To the person receiving them, they're ordinary WhatsApp messages — there's no branding, no "sent via" footer, nothing that marks them as coming from a tool.

Canned replies

Type / in the composer to open your saved replies, then keep typing to narrow the list. Good for the answers you give twenty times a week — opening hours, delivery timelines, payment details.

Manage the list in Settings → Canned replies.

Attachments and media

Attach images, video, documents and audio with the paperclip. Captions are supported on media.

Sending a catalog item

If you've set up a Catalog, you can pull a product straight into a reply with its details, rather than retyping the price every time.

Quoting a message

Reply to a specific message to quote it, exactly as WhatsApp does. The quote is threaded on the recipient's side too, which matters in a busy group where several things are being discussed at once.

Reactions

React to a message with an emoji. Reactions sync both ways — you see reactions people send you, and they see yours.

Notes vs replies

The composer has two modes:

  • Reply sends a WhatsApp message to the contact.
  • Note records something internal. Notes are never sent. They're visible only to your team.

Use notes for context that shouldn't reach the customer: "spoke to them on the phone, they want the 40-unit quote", "careful, previous order arrived damaged".

You can @mention a colleague in a note and they'll be notified.

Private replies in groups

In a group chat, Reply privately starts a direct conversation with one participant, carrying the quoted message across. Useful for taking something sensitive out of a group without losing the thread.

Scheduling a message

Send later schedules a message for a chosen time. Scheduled messages are listed on the conversation and can be cancelled before they go.

When a send fails

If the number isn't connected, the send is refused straight away and tells you so, rather than silently queueing. See My number won't connect.
